Microsoft Office - Project

   
 

This month we take a look at five tips and tricks that you can use with Microsoft Project.

Tip 1 - Navigate with ease

The Scroll to Task command can often be used to navigate timelines in common views such as the Gantt chart and Tracking Gantt. This function alone can save endless amounts of time used for scrolling windows.

Step 1: Switch to Gantt Chart view.
Step 2: Select a task where the Gantt bar is out of view.
Step 3: Click on the Scroll to Task button in the Editing group of the Task tab.

Tip 2 - Communicate Project data

Project provides a number of options to communicate information across a number of platforms (e.g. Outlook, Word, Excel etc.). We will take a look at Outlook in this instance.

Step 1: Expand the Copy button in the Clipboard group of the Task tab and select Copy Picture.
Step 2: Select "For Screen" and accept other defaults.
Step 3: Click Ok.
Step 4: Open a new message in Outlook and Paste (the Project object) in the body of the message.

Tip 3 - Set Reminders in Outlook

Outlook can be used to remind you of important tasks in your projects.

Step 1: Add the Set Reminder command to the Quick Access Toolbar and open Outlook.
Step 2: With a project open, select a task and click on the Set Reminder command.
Step 3: Click Ok.
Step 4: Select the Tasks module in Outlook and observe the new project task.

Tip 4 - Auto Scheduled tasks

Set tasks to Auto Scheduled to avoid manual adjustment of your tasks.

Step 1: Select File, Options, Schedule.
Step 2: Expand the Scheduling options for this project box and select All New Projects.
Step 3: Under New tasks created, select Auto Scheduled.
Step 4. Click Ok.

Tip 5 - Task Inspector.

The Task Inspector can be used to analyse dependencies between tasks and to suggest ways to fix issues such as overallocations.

Step 1: Click on the Inspect button in the Tasks group of the Task tab.
